Inventory Control

The physical inventory is one of your company's most important assets. The financial stability of a business largely depends upon the accuracy of its inventory records. ProfitMaster Canada's Inventory Control brings speed, accuracy, and thoroughness to the inventory system to protect this valuable resource. Inventory Control maintains perpetual, detailed records of your inventory - in stock, sold and on order, giving you accurate information about the earnings, assets, and equities of your business. The reports available through Inventory Control are designed to give you detailed information to make informed management decisions that maintain the inventory and price levels at profitable margins.

Features and Benefits

  • Allows you to use dynamic multiple units of measure per product for selling, buying, and receipt costing for each item of the inventory. For instance, if you buy by the case, stock by the box, and sell individually, these three units of measure are accounted for in your system. In a lumber environment, the conversions are done for bundles, board feet, linear feet, and per each unit.
  • Use dynamic multiple units of measure to automatically convert square feet of insulation required to number of bags required, or square footage / meters of lawn requiring weed killer to number of bottles required, or square footage of drywall being applied to pounds of screws, or boxes of mud, or rolls of tape required to do the job.
  • Calculates inventory valuation based on cost and retails values on demand.
  • Perpetually maintains available for sale, on-hand, on-reserve, on-order, on-backorder and invoiced not delivered stock.
  • Handles up to 99 companies, each of which can have a maximum of 64 separate locations with separate costs, prices, reorder points, reorder quantities, on-order, on-hand, on-reserve, and recommended markups for each location.
  • Maintains unlimited retail prices for four different units of measures for each of the 64 available locations. Handles three price levels for each item by customer or customer job. Also has the ability to calculate customer pricing based on three types of cost; last, market, and average cost.
  • Perpetually maintains, for each item, moving weighted average cost, last (replacement) cost, last cost's freight and market cost.
  • Automatically implements override prices for items going on sale which can be set up at any date prior to the sale going into effect. Once the sale or promotion is over it reverts back to the regular pricing.
  • A powerful pricing tool is available to set up pricing and events. For example, easily recall an event and extend it by another week without having to update each item individually. Update all of your pricing based on a recommended markup percentage. These are just two examples of many available powerful pricing options.
  • Displays or prints unlimited combinations of reports for inventory analysis by item, group (i.e. department), vendor, and location that the merchandise is kept in the store.
  • Maintains company-wide and location-specific item information.
  • Lets you specify vendor and vendor product number links for each item in inventory for ordering efficiency. Each vendor can be prioritized in relation to ordering (primary vendor, secondary vendor, third, fourth, etc. up to 9). Unlimited vendor links allowed per item.
  • Lets you use from one to 11 logical characters for each product number. These can be combinations of alphabetic, numeric, and special characters (i.e. slashes) for descriptive type numbering. (i.e. 38F can be a product code for 3/8 fir plywood).
  • Offers unlimited alias product numbers for barcodes and user friendly numbers (i.e. F38 for 38F). Identifies the primary UPC to be printed on labels to assist staff with stocking the shelves.
  • Maintains a complete and up-to-the-minute physical inventory, with the ability to declare and count inventory on specific sections of the business at a time. Reports overages and shortages, and directs management attention to problem areas immediately.
  • Provides a prime inventory slot (bin) location with multiple secondary slots for each product at each location.
  • Displays or prints product sales activity by individual products and selected groups, with month-to-date and year-to-date sales history.
  • Performs analysis on products across groups (i.e. High-visibility items in every department that should never run out, can be tracked as a single category).
  • Calculates your inventory turns by either cost or quantity calculation, at your option.
  • Items that do not need individual SKU number controls, can be categorized as gross margin products. When gross margin products are sold, the system automatically accounts for costs to accurately reflect gross margins.
  • Lets you specify items have an absolute price or are non-discountable, regardless of other discounts in effect.
  • Generates a daily sales journal containing all transactions that have affected inventory, and provides General Ledger summaries.
  • Capable of Board Footage/Linear Footage/Per thousand Board Foot Conversion to generate pricing and provide picking and loading lists to keep inventory in balance.
  • Update pricing by product groups and by specified vendors to keep up with your cost changes and to anticipate the need for pricing changes to protect your margins.
  • Automatic bill of materials reduces inventory quantities at point of sale required in a sale of an on-line assembly.
  • Bill of Materials automatically extracts multiple items that make up a single group with the flexibility to build your own component lists and create on on-hand stock quantity. Ease of use at the sales counter allows a counter person to sell only one item, while the system accounts for the sale and allocates the proper costing of all items. This is particularly good for businesses that manufacture products, like windows and doors, by pulling the components from existing inventory.
  • Prints price labels or bin labels on demand to give you maximum repricing flexibility. Labels can be printed with or without prices. Warehouse labels can be printed for those areas where prices are not required.
  • Allows stock transfers and product look-ups between locations with audit trails for any changes or moved stock.
  • Individual items and product group inquiry capability to immediately determine stock levels and pricing.
  • Integrated with Sales Entry, Purchasing and Receiving, and Job Cost to reduce the time for data entry and increase accuracy.
  • Keeps track of inventory weight and volume to be used with picking orders, invoices and purchase orders. Weight and volume can be printed on the invoice and/or picking tickets.
  • Allows for attaching extra charges to an item to be automatically sold with the item such as ecology fees.
  • The ability to automatically assign a freight rate to a vendor so that when product is received, this freight rate is used as a default to apply to the cost of goods.
  • A powerful batch update tool is available to "find" and "update" inventory. Useful for inactivating groups of items that haven't been sold, received, and have none on hand or on order for 6 months. Also useful for organizing (or re-organizing) your class structure.
