Multi-Location and Multi-Company Functions
The following information summarizes many of the key features ProfitMaster offers clients who require multi-location and multicompany functions.
Multi-Location
Features and Benefits
- Beneficial for those stores with multi-locations, warehouses, or head offices.
- Easily transfer inventory between locations.
- Access information easily for all locations.
- Share key information between locations.
- Run reports for individual locations or consolidated.
Setup and Configuration
- Terminals are set to default to a specific location.
- All printers are shared which allows access from any terminal regardless of geographic location.
- User ID's and passwords are set up globally.
- End of Day / End of Month processes are maintained by a ‘main' location (or head office).
Reporting
- Run reports on a specific location or consolidate all locations.
- Create group locations so that consolidated reports can be run on a selection of locations.
Inventory
- One Master inventory item shared by all locations containing the main information ie: Product number, description, Unit of measure, Alias.
- Separate Location details specific to the location ie: Cost, Retail, Reorder points & quantities
- Inventory inquiries can display all or individual location. Easily identify what is on hand in all locations.
- Unit cost is tracked individually by location.
- Retail prices can be set to use corporate pricing or maintain individual prices by location.
- EDI updates maintain information for each individual location.
Inventory Transfers
- Integrate a transfer location to easily transfer stock between locations.
Purchasing
- Automated suggested orders can display overstocked values from one location. Hence instead of purchasing stock, you could simply transfer it from another location.
- Purchasing can be done at one location for any location.
Sales
- At point of sale, quickly see what inventory is available in each of the locations.
- Create a sale from any location but relieve inventory from the appropriate location
- Deliver inventory from any location.
- Generate Sales reports by location.
Accounts Receivable
- Receive payments at Head Office, apply to appropriate location.
- Accounts can have sales accounts or sub accounts per location or all locations.
Accounts Payable
- Accounts Payable by location.
General Ledger
- Designed according to location. Each location would be a distinct division in the General ledger. This enables printing balance sheet and income statements for each location or all locations.
- The General Ledger configuration will result in one chart of accounts with each location simply being prefixed by a division.
- Daily Journal Entries - Daily information is posted by each location. Can review by each location or consolidated.
Multi-Company
Features and Benefits
- Beneficial for multiple companies within your organization that are unique and need to remain separated.
- Invest in only one server for multiple companies. Access each company through the same server.
- Many companies can be running at the same time independent of each other.
- Beneficial where consolidation of reports and inquiries are not needed.
- Beneficial where inventory transfers are not required.
- Consistent menu options, reports, inquiries, transactions between companies.
- Beneficial where access security is important between companies.
- No information is shared between companies. Ie: user ids, inventory, A/R accounts, Purchase Orders, vendors, etc.
Setup
- Printers are set to each specific company but is easily changed with a setting should a report need to be printed on another printer.
Reports
- Separate reporting by each company.
Inquiries
- Separate inquiries by each company. Logging out of one company and logging into another company provide a view of each company as needed. With a Windows terminal emulator, have multiple windows open to access different companies to do a side by side comparison if needed (dependent on licenses).
- Inventory Transfers would be treated as a regular purchase order and receipt for the company requiring the inventory; a Sale for the company sending the inventory.
